Job Description

WHAT YOU WILL BE DOING

 

As an Executive Assistant, you will provide administrative support for Commercial HVAC Leadership Team including the General Manager, VP of Sales, VP of Operations, Finance Director, HR Director, and Product/Marketing Director.

 

Resposibilities:

  • Assist with the development of presentation decks in PowerPoint
  • Manage travel and expenses
  • Coordinate meetings including arranging meeting spaces, meals, and technology
  • Manage employee breakrooms including coffer vendor management
  • Responsible for maintaining supply inventory and ordering as needed
  • Manage distribution lists including setting up and ensuring they remain accurate
  • Assist with employee engagement events
  • Respond to inquiries and follow up with other departments to ensure that requests are carried out
  • Compose memos and transcribe notes
  • Research and obtain information for reports and special assignments
  • Coordinate activities across departments
  • Assist with departmental projects

Qualifications

WHAT WE ARE LOOKING FOR

  • High school diploma or an equivalent combination of education and experience; college degree preferred
  • 5+ years related experience
  • Ability to maintain confidentiality
  • Deep knowledge of Microsoft Word, Outlook, PowerPoint and Excel
  • Strong attention to detail and accuracy
  • Strong analytical and problem-solving skills
  • Ability to work independently and function as part of a team
  • Able to work with all levels of management
  • Must be able to prioritize work, work on multiple tasks and maintain organization of trips/meetings
  • Excellent telephone and customer etiquette skills
  • Strong written and verbal communication skills
