Job Description

Parts Ordering & Procurement

  • Receive part requests from Branch Managers and verify accuracy of part numbers, models, and quantities.
  • Source and order HVAC parts quickly to support emergency and scheduled service calls.
  • Coordinate same-day, next-day, or will-call pickups with suppliers to meet job deadlines.
  • Negotiate pricing, lead times, and delivery options with vendors to reduce material costs.

Branch Manager Support

  • Communicate order status and ETA directly to dispatchers and Branch Managers.
  • Provide alternative part options when OEM components are backordered or discontinued.
  • Ensure critical parts are delivered to job sites or available for pickup before technician arrival.
  • Track warranty parts, returns, and core exchanges.

Vendor & Supplier Relations

  • Build strong working relationships with local distributors and suppliers.
  • Resolve invoice discrepancies, shipping errors, and defective part returns.
  • Evaluate supplier responsiveness, availability, and pricing.

Administrative & Reporting

  • Generate usage reports to forecast demand and control costs.

Qualifications

  • Experience in HVAC, mechanical, or service industry parts ordering (preferred).
  • Knowledge of common HVAC service parts and terminology.
  • Strong communication skills for technician and vendor coordination.
  • Ability to multitask and prioritize urgent orders in a fast-paced environment.
  • Proficiency with inventory software, service dispatch systems, and Microsoft Office.
  • Detail-oriented with strong follow-up and problem-solving skills.

Compensation:

This is an hourly non-exempt role. The salary range for this role and market is between $42,000 – $64,000 annually.  Factors that may affect the starting salary include geography/market and the individual’s tenure, performance, skills, education, experience, and other qualifications of the successful candidate.
