Safety & Office Coordinator

Requisition # 2026-55948
Job Locations
US-OH-Hamilton
Category
Administrative Support

What Drives Success

The Safety & Office Coordinator supports our manufacturing and warehouse facility in Hamilton, Ohio. The position reports to the Ohio Plant Manager and takes direction on all safety matters from our EHS Leader, who is based in New York. On the safety side, you keep the program organized and moving: inspections, training records, safety files, incident documentation, and corrective-action follow-up. The safety work is coordination and recordkeeping, not engineering; technical assessments and regulatory determinations stay with the EHS Leader and other qualified personnel. On the office side, you handle the shipping, billing, and customer service administration that keeps orders moving out the door. Office administration is the larger share of a typical day, so you need to be as comfortable billing an order as you are walking the floor.

This is a good fit for someone who has supported a safety program in a plant or warehouse, is organized and accurate, and wants real ownership of the details.

What We Are Looking For

Key Responsibilities

Safety coordination (under the direction of the EHS Leader)

  • Assist in inspecting work areas and equipment to ensure compliance with company, state, and federal safety policies and regulations; document safety inspections, citing dangerous areas or procedures and recommending corrective procedures.
  • Track corrective actions to completion: owners, due dates, status, and completion evidence; follow up with responsible personnel and escalate overdue items.
  • Monitor completion of required machine and forklift pre-use checklists and promptly escalate missing inspections or reported defects.
  • Assist in applying safety policies and procedures and in employee safety training, including new-hire safety orientation, training schedules, and the facility training matrix.
  • Maintain assigned files and records, including Safety Data Sheets (SDS), machine SOPs, training acknowledgments, and required postings, ensuring compliance.
  • Assist in maintaining safety equipment supply and availability, including PPE, first-aid supplies, eyewash stations, fire extinguishers, and AEDs, and the inspection schedules for them.
  • Assist with incident, injury, and near-miss reporting: gather factual information, complete documentation in the company's EHS reporting system within reporting deadlines, and support OSHA recordkeeping and Ohio BWC claim documentation as directed.
  • Support emergency preparedness by maintaining emergency contact lists, evacuation postings, and employee accountability information, and by coordinating drills and follow-up actions.
  • Coordinate the site safety committee: scheduling, meeting records, tracking employee concerns, and communicating progress.
  • May assist with hazardous materials program recordkeeping, ensuring materials are received, handled, stored, labeled, shipped, and disposed of in accordance with company and government regulations.

Office administration (under the direction of the Ohio Plant Manager)

  • Print customer orders and prepare order manifests for the Warehouse Manager.
  • Process order change requests as directed by Customer Service.
  • Bill customer orders.
  • Process inbound shipment receipt documentation.
  • Provide clerical support to the shipping department and respond to customer service questions.
  • Provide general administrative support to facility leadership, and perform other duties as assigned.

Experience and Qualifications

  • High school diploma or GED required. A two-year degree in occupational safety, business, or a related field, or an equivalent combination of education and experience, is preferred.
  • At least one year of hands-on safety or EHS support experience in a manufacturing, warehouse, or distribution environment is required; two or more years preferred.
  • Office administration experience in a manufacturing, warehouse, or distribution setting (order processing, billing, shipping or receiving documentation, customer service) strongly preferred.
  • Foundational understanding of company, state, and federal safety policies and regulations, and the ability to train others on them; developing ability to train others in the correct use of safety equipment.
  • OSHA 10-Hour General Industry certification, or the ability to obtain it within six months of hire.
  • Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams); experience with an EHS reporting system or an ERP system is a plus.
  • Produces quality, accurate work; detects and corrects errors; follows open items through to closure.
  • Effective written and verbal communication; able to communicate safety expectations clearly and professionally and escalate concerns appropriately.
  • Handles confidential incident, medical, and personnel information with discretion.
  • Experience in a union environment preferred, but not required.

Work Environment and Physical Requirements

  • Onsite position, Monday through Friday, 8:00 a.m. to 5:00 p.m., with regular time on the production and warehouse floor. Occasional flexibility to support safety activities on other shifts as facility scheduling requires.
  • Ability to walk through manufacturing and warehouse areas, remain on the production floor for periods of time, and safely navigate an active industrial environment around manufacturing equipment and powered industrial trucks.
  • Ability to wear required personal protective equipment (PPE) in designated areas.
  • Ability to alternate between standing and walking and prolonged periods of sitting at a desk and working on a computer.
  • Visual and auditory ability to observe workplace conditions, communicate with employees, handle phone calls, and read written communications.
